Publication Requirements

The following requirements apply to all manuscripts intended for inclusion in the WFCES 2025 symposium proceedings. Non-compliant submissions may be declined without external review to protect quality and timelines.

1. Scope, Language, and Structure

  1. Topic alignment: The study clearly fits one or more symposium tracks in optics, photonics, optoelectronics, optical imaging, sensing, or Earth/aerospace optical systems.
  2. Language: English, professionally edited prior to submission.
  3. Structure: IMRaD (Introduction, Materials and Methods, Results and Discussion, Conclusion) with optional Acknowledgments, Funding, Conflicts, and Data Availability.

2. Length, Template, and Formatting

  1. Length: Minimum 6 pages in the official template (excluding references); typical 6–8 pages.
  2. Template: Use the publisher’s Word/LaTeX template; complete all metadata accurately (title, authors, affiliations, ORCIDs, abstract, keywords, references).
  3. Figures/Tables: High-quality, original images with English captions, units, and legends; permissions obtained for any reused material.

3. Ethics, Approvals, and Safety

  1. Human/animal research must include institutional approvals, consent statements, and welfare safeguards; field studies must document permits and safety measures.
  2. Dual-use or hazardous materials require disclosure of risk mitigation and regulatory compliance.

4. Originality and Similarity

  1. Original: Not under consideration elsewhere; prior preprints must be disclosed and cited.
  2. Similarity threshold: Net textual similarity must be low and consistent with our thresholds after exclusions (quotes, references, methods). Substantial overlap or image reuse without disclosure leads to rejection.

5. References and Citation Practice

  1. At least 10 scholarly sources; ~70% within the last 10 years, where reasonable for the field.
  2. Persistent identifiers (DOIs) added when available; references must be accurate and relevant; coercive citation is prohibited.

6. Data/Code/Materials Availability and AI Use

  1. Include a Data/Code/Materials Availability statement (link to repository or justified restrictions).
  2. Disclose any use of generative or assistive AI tools; AI tools are not authors; authors retain full responsibility for content and permissions of AI-generated media.

7. Submission Channel and Correspondence

  1. Files are submitted through the conference submission process; all correspondence is with the editorial team (not the publisher).
  2. One author registers as the corresponding author and ensures timely responses during review and production.

8. Presentation Requirement and No-Show

  1. Presentation (oral or poster) at WFCES 2025 in Prague or online is compulsory. Verified no-show manuscripts are removed from the proceedings set.

9. Production Package and Deadlines

  1. After acceptance: finalized camera-ready files, source files, figures, signed permissions, and validated metadata must be delivered according to the announced timeline.
  2. Post-publication amendments are generally not performed by the publisher; only formal errata/corrigenda/retractions are considered when warranted.

10. Compliance and Legal Notice

  1. Authors ensure compliance with institutional policies, funding terms, and applicable laws, including export-control and sanctions rules. The organizers may decline material when compliance cannot be assured.
